By: JessicaThomson

Setting up a new telephone system may not be as easy as it seem since it involves a lot of expenses both visible and invisible too. This depends on a number of factors such as

Technology: The convergence of telecommunication technology and the computer technology is known as Computer Telephony Integration (CTI). The best example of application of CTI is detail of the caller being shown on the screen of the computer when the caller gives a call. With the help of technical advancement a return call can be made directly from your PC by just clicking the mouse button. The latest technology also facilitates automatic transfer of voice mail to the mobile phone.

Expansion: One has to understand the growth requirements of the organization before setting the new telephone system. The required number of extensions will grow with the growth of the organization. The new Telephone System should be comfortable at accommodating the extra extensions. One has to check the up-gradations that are possible in the telephone system.

Standard features: The standard features that are taken into consideration while buying a new telephone system are Call waiting, Call forwarding, Speaker phone, Speed dial, and Voicemail. These are the features without which the new Business Telephones are considered handicapped.

Latest features: The latest features incorporated into the telephone systems because of the technical advancements are
i. Call barring: in this facility the users do not have accesses to certain number or those numbers cannot be dialed.
ii. Conference: According to this facility a conference can be conducted without the physical presence of the participants.
iii. Automated attendant: The caller is guided by an attendant, a recorded voice, that tell which number to be contacted for a particular purpose.
iv. Call logging: This feature facilitates the recoding of the numbers that are contacted by each extension.
v. Music on Hold: the music that is played when the caller is requested to hold on for some time is called music on hold. The source of this music can be the radio station or be recoded.
vi. Calling Line Identification (CLI) : With this facility the line of the caller can be identified.
vii. Directory: In some of the phone systems the directory phone book can be maintained.

Before setting up of the new telephone system one has to take into consideration the price and the facilities offered. Will all the facilities offered by the system be of use? If the facility is not of any use it is better not to purchase it.
Nowadays a new concept of hosted PBX has started in which the PBX system or the PABX system is not to be bought, but its services can be bought. This arrangement does not need your office to provide extra space for the reception counter.
